Completing Counts on Desktop
The next part in setting up Inventory is adding your current on-hand inventory count
Pick a day when you have enough downtime to complete a count of everything in your backbar. This step allows you to accurately track both what is leaving the salon and what is coming in. So this is a crucial part of the setup.
We recommend a day when your salon is closed. It is important that you don't have your backbar in use or any orders being received, otherwise, your on-hand count will be wrong.
Step 1: To create a count click Inventory under Backbar then go to the third tab in, called Inventory Count.
You will see that you do not have any counts started yet, because this is your first count.
Step 2: To begin your first count, head over to the corner in the top right and click start new count.
Step 3: You have the option to name your count. We recommend using a date or a name to help identify your count.
If you have a team account, you can add a contributor to track who helped complete the count. This will also allow whoever is helping you to complete the count to see it in their app.
Step 4: Click “Create”, then you will see a list of all of the products that need to be counted.
Now you can go in and begin to count the products. You will see that all products will be sorted by category.
There are multiple filters that you can use to help sort products. The filters include Categories, Count Status, and Reasons.
TIP! To speed up your count you can set your count status to "Not Counted", which will allow you to treat your count as a to-do list. As you add the on-hand quantity, that line will be filtered out so you will only see what still needs to be counted.
Here you can see the expected column, which will not be visible in your first count. But in future counts, our system will show what it thinks you should have in stock.
The “Reasons” filter is there for future counts so that you can track if the on-hand count does not match the expected count. This allows you to track products that were expired, had spillage, or shrinkage.
To remove the filters you will just have to click on the x.
Step 4:
Once you have completed your count, click Add to Inventory. This step is important as it will update the number of your on-hand inventory.
After you have clicked Add To Inventory. You will be back at the main Inventory Count page where you can see your first count listed.
This will show that your count has been completed, the progress of the count, how many times were counted, and the stock cost.
You can click back into count to see what was completed.
Completing Counts in the Mobile App
Next, Let’s go over how to complete counts in the mobile app.
As mentioned above, the owner can add people to contribute to the inventory count and they will be able to do so through their mobile app.
Step 1: Under the backbar tab at the bottom of the app, you can select inventory counts.
You will see the list of all of the counts that they have been added to and select the current count.
So similar to the business center dashboard, they will be able to filter by product, category, or count status. And then they can start counting.
Step 2: Start Counting
Select the product, add the quantity, and then click save. They will continue with the process until everything in the backbar has been counted.
TIP! If the contributor would like to set it up like a to-do list, they can just filter the products by “Not Counted”, similar to the business center.
Another way to quickly find products is by using the search bar. Or using the UPC scanner, which can be found beside the search bar.
Step 3: Complete Your Count
When you are done counting your product, click the Complete Count at the bottom of your screen.
For future counts:
The process will be the same when you do future counts.
In the mobile app, users can all complete counts or create a new count if they have permission to do so.
TIP! If you would prefer to complete your inventory count with pen and paper, you can click Export CSV and it will download a sheet for you. This way you can write down your count and then fill in the numbers in the system after.
